Job Description

Responsibilities & Context

The role is responsible for managing end-to-end inbound operations including shipment coordination, receiving, QC, GRN processing, stock accuracy, and supplier follow-ups. The position ensures smooth warehouse intake processes, accurate inventory levels, compliance with SOPs, and supports overall supply chain efficiency.

 

Key Responsibilities

  1. Plan, track, and coordinate inbound shipments and pick-up timelines.
  2. Manage communication with suppliers, vendors, and transport partners.
  3. Verify purchase orders, invoices, GRNs, and ensure accurate stock intake.
  4. Supervise inbound receiving processes including unloading, QC, and documentation.
  5. Train, guide, and supervise inbound and pick-up teams.
  6. Maintain accurate inventory levels across warehouse locations.
  7. Conduct cycle counts, stock reconciliation, and monthly physical inventory audits.
  8. Optimize warehouse storage layout for efficient material flow and picking.
  9. Reduce stock variance and improve inventory accuracy.
  10. Ensure timely fulfilment support through accurate stock updates and coordination.
  11. Prepare inbound-related reports and support supply chain planning activities.
  12. Set and maintain SOPs for inbound, receiving, and inventory management.
  13. Ensure full compliance with warehouse SOPs and process discipline.
  14. Follow up with suppliers for PO confirmation, shipment updates, and delivery timelines.
  15. Coordinate with warehouse teams for receiving, QC checks, and GRN completion.
  16. Monitor emails and ensure all communication is acted upon in a timely manner.
  17. Check stock availability and generate POs as per order requirements.
  18. Support continuous improvement initiatives for inbound and warehouse efficiency.
  19. Collaborate with cross-functional teams to resolve inbound or stock issues.
  20. Ensure documentation accuracy, audit readiness, and adherence to operational standards.

 

Requirements:

  • Minimum 2–4 years of experience in inventory or warehouse management (preferably in the of e-commerce, retail, or pharmacy industry).
  • Experience with warehouse management systems (WMS) and inventory management software & MS Excel.
  • Strong proficiency in MS Excel (VLOOKUP, X-LOOKUP Pivot Tables, Charts) – mandatory.
