Responsibilities & Context

Alfamart, a leading Indonesian international convenience store chain and one of the largest in its home country, is entering the Bangladesh retail market through a joint venture with Kazi Farms Limited, under the name Alfamart Trading Bangladesh. With an ambitious vision to set new benchmarks in retail customer experience, the project is currently in its pre-opening phase. To be part of this exciting journey, we are seeking a competent Executive, Administration to oversee and coordinate all functions in close collaboration with both the Indonesian project team and local stakeholders.

 

Job Purpose:

The Executive, Administration will play a key role in supporting and implementing core administrative functions. This role ensures smooth internal operations, manages documentation, coordinates with support staff to maintain a productive and efficient working environment.

Key Responsibilities:

  • Maintain office supplies, coordinate procurement activities and manage vendor relationships.

  • Coordinate travel arrangements and logistics for both local and international team members.

  • Prepare administrative reports, letters, memos and other official documents.

  • Provide support in facility management, maintenance coordination and regulatory documentation.

  • Manage the internal vehicle pool, including scheduling, tracking and maintenance follow-up.

  • Provide logistics support for operational and administrative activities as required.

  • Maintain and update regulatory documents; coordinate with relevant authorities and stakeholders.

  • Manage mobile bills, SIM card issuance and internet-related administrative tasks.

  • Maintain records of administrative expenses and assist with budget tracking and reporting.

  • Assist in managing daily administrative activities to ensure smooth and efficient office operations.

  • Ensure compliance with company policies, administrative procedures and standard operating practices.

  • Perform any other tasks assigned by the HR Manager or Admin Supervisor.
