Responsibilities & Context

Role Overview

The Accounts Executive – Warehouse is responsible for managing and overseeing financial and accounting activities related to warehouse operations. This includes monitoring invoices, payments, stock valuations, vendor transactions, and expense tracking. The role ensures accurate record-keeping, timely reporting, and compliance with company financial policies to support smooth warehouse and inventory operations.

Key Responsibilities

  • Manage and process supplier/vendor invoices, payment approvals, and reconciliations related to warehouse operations.
  • Maintain accurate records of warehouse transactions, stock valuations, and inventory movements.
  • Coordinate with the procurement and warehouse teams for verification of GRNs, invoices, and other financial documents.
  • Track operational expenses, including utility bills, equipment procurement, and maintenance costs.
  • Prepare periodic financial reports and summaries for management review.
  • Assist in budget preparation, monitoring, and variance analysis for warehouse operations.
  • Ensure compliance with company financial policies and internal control procedures.
  • Support audits and provide necessary documentation or clarification regarding warehouse financial activities.
  • Maintain proper filing and digital records for accounts, contracts, and vendor payments.
  • Resolve discrepancies or issues in billing, invoicing, or payments with vendors and internal teams.

Requirements

  • Minimum 2–4 years of experience in accounts, finance, or bookkeeping (warehouse or inventory operations preferred).
  • Strong knowledge of accounting principles, invoice processing, and financial record-keeping.
  • Proficiency in MS Excel (VLOOKUP, Pivot Tables, formulas) and accounting software.
  • Attention to detail and accuracy in financial data management.
  • Good communication and coordination skills to liaise with vendors, warehouse, and procurement teams.
  • Ability to work independently, prioritize tasks, and meet deadlines consistently.
