Responsibilities & Context
Ray Advertising is looking for a smart, reliable, and quick-learning Executive Assistant to join our growing team! We’re hiring for both On-site (Bogura Office) and Remote (Work From Home) positions.
This position involves night shift from Monday to Saturday, 6:00 PM to 3:00 AM BD time — including a 1-hour break.

Position Overview
We’re searching for a detail-oriented, research-driven, and tech-savvy Executive Assistant to support our management team in daily operational and administrative tasks.
You’ll work in a fast-paced, structured environment, using modern tools and AI to handle data, conduct research, manage communications, and streamline workflow operations.
Note: This is a performance-focused role where you’ll work under structured supervision and micromanagement — meaning tasks, timelines, and output quality will be closely monitored to ensure consistency, precision, and your professional growth.
Key Responsibilities
1. Digital Marketing, Social Media & Administrative Support

Assist the Admin team with digital marketing tasks such as content scheduling, email campaigns, basic performance tracking and assist in outreaching potential clients.

Manage and support social media platforms (Facebook, Instagram, LinkedIn, niche platforms) including posting, engagement, and maintaining brand consistency.

Conduct deep research on platforms, competitors, buyers, trends, tools, events, and industry insights relevant to company operations.
-
Assist in outreach, lead research, and lead generation projects.
-
Provide daily administrative and research-based support to management.
2. AI & Content Creation Tasks
-
Use AI tools such as ChatGPT, Gemini, Claude, Perplexity AI, and others for content creation, research, and automation.

Create and edit short AI-assisted content (blog posts, captions, descriptions, summaries).

Apply strong prompting skills to deliver accurate, relevant, and high-quality outputs.
3. Data, Sheets & CRM Management

Maintain and update all relevant data using Excel, Google Sheets, and CRM systems.
-
Keep client, vendor, partner, and publisher information organized and accurate.

Prepare concise data summaries, spreadsheet updates, and short reports for management.

Familiarity with platforms such as Monday.com, HubSpot, Instantly, ClickUp, Trello is a strong advantage.
4. Communication, Scheduling & Coordination

Professionally manage daily communication including emails, follow-ups, and internal messages.

Schedule meetings using Google Calendar, Calendly, Google Meet, or similar tools.

Coordinate tasks and workflows with internal teams to ensure timely completion.

Support interdepartmental alignment between marketing, IT, design, and operations.
5. Event, Vendor & Competitor Research

Conduct thorough research on upcoming industry events, expos, conferences, and job fairs, and provide insights or recommendations.

Identify potential partnerships and networking opportunities.

Evaluate vendors and maintain well-documented vendor information.

Analyze competitor campaigns, platforms, and strategies for benchmarking.
6. Compliance, Documentation & Record Keeping

Assist in handling company paperwork, proposals, basic contracts, filing tasks.

Ensure compliance by verifying that all partners meet company and client requirements.

Maintain strict confidentiality and follow all data security guidelines.

Keep internal documentation, digital files, and folders structured and organized.

Probation Period
All new hires start with a 1-month probation period, during which you’ll receive 50% of your agreed salary. Once you successfully complete probation, you’ll receive your full salary — and note that we never extend the probation period beyond one month.
